Every Gift, Every Donor, One Database
Donors give. Their information lands in your Airtable CRM—linked to the right campaign, appeal, and fund. No spreadsheet exports. No manual entry. No donors slipping through the cracks.
Why tracking donations is so painful
You want every gift to strengthen your donor relationships. But the tools get in the way:
Google Forms captures the gift, but you spend hours copying donor info into your database
Your website payment processor doesn't talk to your CRM—duplicate records everywhere
Native Airtable forms can't process payments or show different fields for different gift levels
Someone donates twice and you have two records for the same person
You can't answer "which campaign brought in our best donors?" without a spreadsheet marathon
Development directors waste time on data cleanup instead of donor cultivation
The result: Gifts go unthanked. Donor relationships go uncultivated. And your board asks why retention is low.
Donation tracking that actually works
Instant sync
Someone gives, you see it. Gift amount, donor info, fund designation—in your Airtable base before the thank-you email goes out.
Linked records
Each gift connects to the donor, the campaign, the appeal, and the fund. Build giving history automatically.
Smart branching
First-time donors see welcome copy. Monthly givers see their impact. Major gift prospects see concierge options. One form.
Any device
Giving kiosk at the gala. Mobile during a peer-to-peer campaign. Desktop from the office. It just works.
How to create a donation intake form
Set Up Your Airtable Base
Create a "Donations" table with these fields:
If you already have a Donors table, link to it. Each gift builds the relationship history.
Connect Filla to Your Base
Sign up at app.filla.io (free, no credit card required).
Click "Connect Airtable" and authorize access to your base. Filla uses OAuth—no API keys to manage.
Select your base and the Donations table. Your fields appear automatically.
Build Your Donation Form
Drag fields from the sidebar:
Add conditional logic:
Share With Donors
Deploy your form:
Donors don't need Airtable accounts. The form works on any device.
Manage Gifts in Airtable
Track everything in one place:
All data stays in your Airtable base where you control access.
Taking donation tracking further
Conditional Logic Examples
- Show tribute notification fields only when "In honor/memory of" is selected
- Display "Join our monthly giving program" only for first-time donors
- Show employer match question for gifts over $250
- Hide anonymous checkbox from logged-in board members
Linked Record Use Cases
- Connect to Campaigns table to track ROI by appeal
- Link to Events for gala and fundraiser registrations
- Reference Donors table for lifetime giving calculations
- Connect to Communications for stewardship tracking
Automation Ideas
- Send thank-you email immediately upon submission
- Notify major gifts officer when donation exceeds $500
- Create follow-up task 90 days after first gift
- Add donor to "Upgrade candidates" view after third gift
Common issues and solutions
“Donations aren't linking to existing donor records”
- Check that donor lookup field matches exactly (email is most reliable)
- Enable "Create new record if no match" for new donors
- Review linked record field settings in Airtable
“Donors are seeing the wrong campaign options”
- Filter the Campaign linked record to show only active campaigns
- Use conditional logic to hide internal-only options
- Check that Campaign table view permissions are set correctly
“We're getting duplicate donor records”
- Use email address as the primary lookup field
- Set up an Airtable automation to merge duplicates weekly
- Consider using prefilled links for known donors
Donation form FAQs
Can donors give anonymously?
Add an "Anonymous?" checkbox. When checked, you still have their info for receipts, but public recognition is suppressed.
Does this handle recurring donations?
Filla captures the intent and donor info. For actual recurring billing, connect Stripe or your payment processor. Each charge can trigger a new record via Airtable automation.
Can I track which campaign brought in each gift?
Add your Campaigns table as a linked record field. Every gift ties to its source. Run reports by campaign directly in Airtable.
What about tax receipts?
Capture all required info (name, address, amount, date). Use Airtable's Page Designer or automations to generate and send receipts automatically.
Can donors update their information later?
Send a prefilled link tied to their donor record. They see their current info and can make changes that sync back to Airtable.
