Set Up Your Airtable Base

Create a "Donations" table with these fields:

Donor — Linked record to your Donors/Constituents table
Amount — Currency field
Gift Type — Single select (One-time, Recurring, Pledge)
Campaign — Linked record to your Campaigns table
Fund — Single select or linked record
Tribute — Long text (In honor/memory of)
Anonymous? — Checkbox
Date — Created time (auto-generated)

If you already have a Donors table, link to it. Each gift builds the relationship history.

Common issues and solutions

Donations aren't linking to existing donor records

  • Check that donor lookup field matches exactly (email is most reliable)
  • Enable "Create new record if no match" for new donors
  • Review linked record field settings in Airtable

Donors are seeing the wrong campaign options

  • Filter the Campaign linked record to show only active campaigns
  • Use conditional logic to hide internal-only options
  • Check that Campaign table view permissions are set correctly

We're getting duplicate donor records

  • Use email address as the primary lookup field
  • Set up an Airtable automation to merge duplicates weekly

Donation form FAQs

Can donors give anonymously?

Add an "Anonymous?" checkbox. When checked, you still have their info for receipts, but public recognition is suppressed.

Does this handle recurring donations?

Filla captures the intent and donor info. For actual recurring billing, connect Stripe or your payment processor. Each charge can trigger a new record via Airtable automation.

Can I track which campaign brought in each gift?

Add your Campaigns table as a linked record field. Every gift ties to its source. Run reports by campaign directly in Airtable.

What about tax receipts?

Capture all required info (name, address, amount, date). Use Airtable's Page Designer or automations to generate and send receipts automatically.

Can donors update their information later?
