Prove Your Impact, Without the Paperwork

Field staff report outcomes from their phones. Metrics land in Airtable—linked to programs, clients, and grants. When a funder asks “what did you accomplish?” you have the answer.

Why impact tracking is a mess

A funder wants to know your impact. Here's what happens:

Field staff take notes that never make it to the database—they're in notebooks, text messages, mental notes

Spreadsheets don't talk to each other, so you're copy-pasting data between files

Grant reports require pulling numbers from 5 different sources and hoping they match

Someone asks 'how many people did we serve this quarter?' and it takes a week to answer

Qualitative outcomes—the stories that matter—live in email threads and meeting notes

By the time you compile the data, it's already outdated

The result: Funders don't see your real impact. Grants become harder to renew. Your team dreads reporting season.

Impact tracking that actually works

Instant sync

Staff log an outcome, it's in your database. No data entry backlog, no lost notes, no week-long reporting delays.

Linked records

Each outcome connects to clients, programs, staff, and grants. Build the complete picture automatically.

Smart branching

Youth program staff see youth metrics. Employment programs show job placement outcomes. One form, program-specific questions.

Any device

Log outcomes from the field. Report a milestone from the bus. Update metrics without returning to the office.

How to create an impact tracking form

1

Set Up Your Airtable Base

Create an "Outcomes" table with these fields:

Client — Linked record to Clients table
Program — Linked record to Programs table
Metric Type — Single select (Attendance, Completion, Milestone, etc.)
Metric — Single select (based on your programs: Sessions Attended, Skills Gained, etc.)
Value — Number field (for quantitative metrics)
Date — Date field
Staff — Linked record to Staff table
Notes — Long text for qualitative observations
Grant — Linked record to Grants table (for funded programs)

Link to Programs and Grants for automatic reporting rollups.

2

Connect Filla to Your Base

Sign up at app.filla.io (free, no credit card required).

Click "Connect Airtable" and authorize access. Filla uses OAuth—your credentials stay secure.

Select your base and the Outcomes table. Fields appear automatically.

3

Build Your Impact Form with Program-Specific Logic

Create forms for field staff:

Client selector from your Clients table
Program to categorize the outcome
Metric Type and Metric with cascading selections
Value for the measurement
Date and Notes for context

Add conditional logic:

If Program is "Job Training," show employment-related metrics
If Program is "Youth Services," show age-appropriate outcomes
If Metric Type is "Milestone," show milestone description field
Show grant selection only for funded programs
4

Deploy for Field Staff

Get staff reporting outcomes:

Mobile-friendly forms for reporting from the field
QR codes at program sites for quick access
Bookmarked links for regular reporters
Embedded in internal portals for easy access

Staff report outcomes from their phones. No laptops, no office visits, no delays.

5

Report Impact with Rollups and Dashboards

Turn data into impact stories:

Rollup fields count outcomes per program, client, grant
Summary views show totals by time period
Filtered views for grant-specific reporting
Export to dashboards for board presentations

When a funder asks "how many people did you serve?" you have the answer in seconds.

Taking impact tracking further

Conditional Logic Examples

  • Show program-specific metrics based on program selection
  • Display follow-up questions for negative outcomes
  • Show photo upload for milestone celebrations
  • Hide advanced metrics from entry-level staff

Linked Record Use Cases

  • Connect to Clients for individual outcome tracking
  • Link to Programs for program-level reporting
  • Reference Grants for funder-specific metrics
  • Connect to Staff for accountability tracking

Automation Ideas

  • Send weekly outcome summary to program managers
  • Alert when client reaches milestone thresholds
  • Remind staff to submit weekly outcome reports
  • Auto-generate monthly grant progress reports

Common issues and solutions

Field staff notes never make it to the database

  • Create simple mobile forms that take under 2 minutes to complete
  • Set up daily reminders for staff to log outcomes
  • Make outcome entry part of the service delivery workflow

Spreadsheets don't talk to each other

  • Consolidate all outcome data into one Airtable base
  • Use linked records to connect clients, programs, and outcomes
  • Create views that combine data from multiple tables

Grant reports require pulling from 5 different sources

  • Tag outcomes with the grant they support via linked records
  • Create grant-specific views that filter to relevant metrics
  • Use rollups to auto-calculate grant report numbers

Impact tracking FAQs

Can we track individual client outcomes?

Link each outcome record to a Client record. View all outcomes for a client in their linked records. Rollups can show progress over time and total outcomes per client.

What about different metrics for different programs?

Use conditional logic to show program-specific metrics. When staff select a program, only relevant metrics appear. This keeps forms simple while supporting complex tracking.

How do we track grant-specific outcomes?

Add a Grant field as a linked record. Filter outcomes by grant for reporting. Rollup fields can calculate exactly what each funder needs to see.

Can we capture qualitative data too?

Add long text fields for notes, observations, and client quotes. Attachment fields can capture photos of completed projects or client testimonials.

How do we generate grant reports from this data?

Create views filtered by grant and date range. Export to CSV or use Airtable's Apps to build custom reports. Rollups pre-calculate the numbers funders want to see.
