Turn “I Want to Help” Into Action

Volunteers sign up with their skills, availability, and interests. Their info lands in your Airtable base—linked to events, programs, and teams. When you need people, you know exactly who to call.

Why volunteer management is a mess

Someone wants to help. What happens next is chaos:

They fill out a Google Form, and you copy their info into a spreadsheet you'll forget about

Someone emails "I can help Saturday mornings" and it lives in your inbox forever

You can't remember who has a truck for furniture pickups or who speaks Spanish

Event coordinators text you asking "who's available?" and you scramble through notes

Volunteers sign up, never hear back, and assume you don't need them

When you finally call someone, you can't remember if they passed their background check

The result: Willing volunteers slip away. Your team burns out handling everything alone.

Volunteer management that actually works

Instant sync

Someone registers, you see it. Skills, availability, contact info—in your Volunteers table before they close the form.

Linked records

Each volunteer connects to events they've worked, programs they support, and teams they belong to. Build engagement history.

Smart branching

Teens see youth-appropriate opportunities. Skilled tradespeople see project needs. Corporate groups see team events. One form.

Any device

Sign up at your booth. Register on the bus ride home. Update availability from anywhere.

How to create a volunteer registration form

1

Set Up Your Airtable Base

Create a "Volunteers" table with these fields:

Name — Single line text
Email — Email field
Phone — Phone number
Skills — Multiple select (Driving, Construction, Teaching, Admin, Medical, Languages, etc.)
Availability — Multiple select (Weekday mornings, Weekday evenings, Weekends, etc.)
Interests — Linked record to Programs or Teams table
Emergency Contact — Single line text
Background Check Status — Single select (Pending, Cleared, Not Required)
Joined — Created time (auto-generated)

Link to your Events table to track who worked which event.

2

Connect Filla to Your Base

Sign up at app.filla.io (free, no credit card required).

Click "Connect Airtable" and authorize access. Filla uses OAuth—your credentials stay secure.

Select your base and the Volunteers table. Fields appear automatically.

3

Build Your Registration Form

Drag fields onto your form:

Name, Email, Phone at the top
Skills and Availability for matching
Interests as linked records to your Programs
Emergency contact for events

Add conditional logic:

If Age < 18, show "Parent/guardian contact required"
If Skills includes "Driving," show "Valid driver's license?" checkbox
If Interests includes "Youth Programs," show background check consent
4

Share With Potential Volunteers

Get the form in front of people:

Embed on your "Get Involved" website page
QR code at community events and tabling
Link in newsletters and social posts
Share in orientation emails

No Airtable account needed. Works on phones, tablets, laptops.

5

Manage Volunteers in Airtable

Put your database to work:

Filter by skills when you need specific help
Create views by availability for shift scheduling
Track hours by linking to Event Attendance table
Set up automations to welcome new volunteers immediately

When the food pantry needs Saturday morning help, you find the right people in seconds.

Taking volunteer management further

Conditional Logic Examples

  • Show waiver agreement for activities with physical risk
  • Display CDL question only if "Driving large vehicles" skill is selected
  • Show professional license field for medical/legal volunteers
  • Hide board nomination option from new volunteers

Linked Record Use Cases

  • Connect to Events for assignment and attendance tracking
  • Link to Programs for interest matching
  • Reference Teams for committee membership
  • Connect to Hours Log for recognition milestones

Automation Ideas

  • Send welcome email with next steps immediately
  • Notify volunteer coordinator of new registrations weekly
  • Remind inactive volunteers after 60 days
  • Auto-add to orientation event when background check clears

Common issues and solutions

Volunteers aren't showing up in the right views

  • Check that Skills and Availability fields use the exact values your views filter on
  • Verify linked records are connecting to the correct tables
  • Review form field mapping in Filla settings

We're getting duplicate volunteer records

  • Use email address as a unique identifier
  • Set up a view that flags potential duplicates
  • Use prefilled links for existing volunteers updating their info

Background check status isn't updating

  • Background checks happen outside Filla—update status manually or via automation
  • Create a view for "Pending background check" volunteers
  • Set up reminders for volunteers awaiting clearance

Volunteer registration FAQs

Can minors sign up to volunteer?

Use conditional logic to show parent consent and emergency contact fields for anyone under 18. Airtable keeps all the records together.

How do we track volunteer hours?

Create an Hours Log table linked to Volunteers and Events. Staff or volunteers can submit hours via a separate form. Rollup fields calculate totals automatically.

Can volunteers update their availability later?

Send a prefilled link tied to their record. They see current info and make changes that sync back immediately.

What about background checks?

Filla captures consent and required info. Run checks through your provider. Update the status field in Airtable when cleared.

Can we assign volunteers to specific events?

Link your Volunteers table to an Events table. Create an Assignment form or manage it directly in Airtable. Volunteers can see their assignments through filtered views.
