One Survey, Different Questions for Everyone

Teachers see professional development questions. Parents see communication questions. Students see engagement questions. All responses land in one Airtable base for easy comparison.

School surveys are harder than they should be

You want to know what students, parents, and staff actually think. But:

Google Forms shows everyone the same 40 questions—parents see student questions, students see staff questions

Survey platforms charge per response. A 2,000-student climate survey costs $500+

Results export to a CSV that sits in someone's Downloads folder, disconnected from everything

Comparing Lincoln Elementary to Washington Elementary means manual Excel work every time

You can't link responses to existing student records without hours of vlookup

Board presentations require rebuilding charts from scratch each survey cycle

The result: expensive tools, messy data, and insights that arrive after decisions have already been made.

Surveys that adapt to who's answering

Real-time results

Watch response counts climb. See patterns forming before the survey even closes.

Smart branching

Select 'Parent' and see parent questions. Select 'Teacher' and see staff questions. One form.

Linked records

Responses connect to schools, grade levels, and survey periods. Compare across anything.

Built-in charts

Airtable's chart extension turns responses into visuals. No more rebuilding slides.

How to create a school survey

1

Set Up Your Airtable Base

Create a "Survey Responses" table in Airtable:

Respondent Type — Single select (Student, Parent, Teacher, Staff)
School/Campus — Linked record to Schools table (for districts)
Grade Level — Single select (K-2, 3-5, 6-8, 9-12)
Question 1-10 — Rating fields or single selects
Open Feedback — Long text
Submitted — Created time (auto-generated)
Survey Version — Single select (Fall 2024, Spring 2025)

For recurring surveys, add a "Survey Period" field to compare results over time.

2

Connect Filla to Your Base

Sign up at app.filla.io (free, no credit card required).

Click "Connect Airtable" and authorize access to your base. Filla uses OAuth, so you never share your API key.

Select your base and the Survey Responses table. Your fields appear automatically — no manual mapping needed.

3

Build Your Survey Form

Design your survey with respondent-specific questions:

Start with Respondent Type to enable branching
Add School/Campus if running district-wide survey
Add rating scale questions (1-5 or 1-10)
Include open-ended feedback fields

Add conditional logic:

If respondent is "Student," show age-appropriate questions
If respondent is "Parent," show questions about communication
If respondent is "Teacher," show professional development questions
Show follow-up questions based on low ratings
4

Distribute to Different Stakeholder Groups

Share your survey strategically:

For Students:

Embed in learning management system
Share QR code in classrooms
Use prefilled links with grade level

For Parents:

Send via school email system
Include in newsletter
Share at parent events

For Staff:

Send via staff email list
Announce at staff meetings
Set response deadline
5

Analyze Results in Airtable

Turn survey data into insights:

Create views filtered by respondent type, school, or grade
Use Summary extension to see response distributions
Build charts showing ratings by category
Compare surveys by filtering on Survey Version field

Reporting automations:

Generate weekly response summary
Alert when response rate hits target
Export results to Google Slides for board presentations
Flag concerning responses for follow-up

Taking school surveys further

Conditional Logic Examples

  • Show student-appropriate language for younger grades
  • Display parent-specific questions about involvement
  • Branch to follow-up questions based on low ratings
  • Hide sensitive questions based on respondent type

Linked Record Use Cases

  • Connect responses to Schools table for multi-campus districts
  • Link to Teachers for course-specific feedback
  • Reference Departments for staff satisfaction by area
  • Connect to Survey Periods for longitudinal analysis

Automation Ideas

  • Daily response count notification to survey coordinator
  • Alert when negative feedback requires immediate attention
  • Auto-calculate completion rates by school/grade
  • Generate comparative reports between survey periods

Common issues and solutions

"Low response rates from certain groups"

  • Create respondent-specific reminders via automation
  • Shorten survey for groups with low completion rates
  • Offer multiple response windows for busy stakeholders

"Can't compare results to previous surveys"

  • Add a 'Survey Period' single select field
  • Keep question wording consistent across surveys
  • Create a view that groups by survey period for comparison

"Too many open-ended responses to analyze"

  • Use Airtable's AI features to categorize responses
  • Create a tagging field to manually categorize themes
  • Limit open-ended questions to most important topics

School survey FAQs

Can we run anonymous surveys?

Remove name and email fields. You still collect school, grade, and role for analysis—but can't trace responses back to individuals. That's how you get honest answers.

How do we ensure one response per person?

For accountability: require email and flag duplicates with automation. For anonymity: accept that some people might submit twice—it's the price of honest feedback.

Can we see response rates by school or grade?

If you collect school and grade, create rollup fields to count responses. Compare against enrollment numbers for accurate completion rates.

How do we share results with stakeholders?

Share a read-only Airtable view with principals. Build an Airtable Interface for the board. Export charts for your annual report. All from the same data.

Can we translate surveys for multilingual families?

Create separate forms per language that all feed the same table. Or use conditional logic: 'Select your language' branches to translated questions.
